Abstract Submission
When can I submit an abstracts submission for IAC 2025?
Abstracts may be submitted online at https://iafastro.directory/iac/account/login/ from 12 November 2024 to 7 March 2025 (23:59 CET).
What is the required structure for an abstract?
An abstract consists of a title, author list and the abstract text.
What is the maximum number of words/characters my abstract can contain?
The abstract text is limited to 2800 characters (~400 words). The information of the author will appear automatically and should not be inserted. If your abstract exceeds this limit, you will be prompted to correct it before being allowed to continue. Use the tool bar on the right side of the page for any special symbols (like %) in plain text or the text in the PDF file may not display properly.
Can I include a table, graph or image in my abstract?
It is not possible to include tables or graphs/images in the abstract.

What are my options with regard to presentation preference?
Your options are as follows:
- Oral presentation: Abstract will ONLY be considered for a talk. If your abstract is not selected for a talk, it will be rejected.
- Interactive presentation: Abstracts will ONLY be considered for an interactive presentation. If your abstract is not selected for an interactive presentation, it will be rejected.
- Oral or interactive presentation: Abstract will be considered for a talk or an interactive presentation. This option allows participation in both categories. If not selected for a talk, it will be AUTOMATICALLY for an interactive presentation.
What is the difference between an oral and an interactive presentation?
- In an oral session, authors present their work one-by-one in a series of short lectures (from 10 minutes to 20 minutes). Each session includes is moderated by the session chairpersons and features a set of presentations followed by Q&A. These presentations are in a room with a seated audience, in a lecture-style format.
- The interactive sessions offer presenters a chance to present their work in a visual format and offer more opportunities for interaction and discussion. The format of the IP session is interactive with each author initially introducing their presentation, followed by small group discussions. Each interactive presentation is scheduled for 10 minutes.


How do I submit an abstract?
Before submitting an abstract, you are asked to create a profile at
https://iafastro.directory/iac/account/login/. To submit abstracts, please login into your Congress Profile and click on “submit abstract” field in the Overview-tab. You will then see a link to enter into the abstract submission system.

In the abstract submission system, please follow the steps 1-4 to create and submit your abstract:
a) Select the Symposium and then the Technical Session.
b) Enter your abstract title and text
c) Select presentation format (“oral”,” interactive”, “oral or interactive”)
d) Submit your abstract
After an abstract has been created, modifications can be made until the submission deadline. After making your modifications, you need to submit your abstract again. No modifications can be done after the submission deadline.
My project is still ongoing and there are no results yet, should I still submit an abstract?
Abstracts are intended to present scientific studies, research, programmes, policies, etc. highlighting both the methods or description and results or recommendations. If you are describing a study that is still in the planning stage, it would not be suitable for an abstract submission, unless the method that you will use is, for instance, of scientific interest. However, if you are currently doing investigation and you only have initial data but it seems relevant or significant, please submit the abstract.
Can we use Chat GPT or AI Tools for editing and writing abstracts?
We value originality, uniqueness and high-quality science at IAC. AI tools can improve readability and language of the work in the writing process (translation for example). Authors are responsible for carefully reviewing and editing the abstract to avoid incorrect, incomplete, or biased content. When submitting abstracts, authors must disclose the reasons for using AI and AI-assisted technologies, and a statement will appear in the published abstract.
Who selects the abstracts and decides how they will be presented?
All submitted abstracts will go through a blind peer-review process carried out by the
International Programme Committee (IPC). The IPC makes the final selection of abstracts to be included in the congress Technical Programme. Abstracts can be selected for oral presentation in Technical Sessions or to be presented as interactive presentations, which will be displayed on digital screens.
I am not sure which technical session my abstract should be submitted under?
Please select the technical session that most closely aligns to your work. We recognize that many abstracts will fall into several technical sessions. The Session Chairs will have the authority to reassign abstracts to the most appropriate category.

How many authors can I include in the author’s list?
The number of co-authors per abstract is unlimited. A person can be listed as a co-author if he/she has made a substantive intellectual contribution to the submission.
I have submitted my abstract but now I realize that it contained a mistake and I need to revise it. Should I submit the abstract again online?
You can make changes to your abstract prior to the submission deadline by logging into the submissions site and selecting “edit abstract” option from the author menu.
May I submit more than one abstract?
Yes, you may. If you are submitting more than one abstract you can use the same account for each abstract. Please note that you risk rejection of all duplicate abstracts.
How do I know if it is properly submitted?
Once submitted, the uploading status of your abstract shall change into “abstract successfully submitted”.
Will I be able to submit my abstract in language other than English?
No, only abstracts composed in English will be accepted for review.
I am unable to attend the congress. Can I still submit an abstract for publication in the IAC proceedings?
If you know for definite that it will be impossible for your material to be presented at the congress by yourself or a co-author/colleague, please do not make a submission. We do not allow abstracts to be published in the congress proceedings without an attending author.
My abstract has been accepted for oral presentation; can it move?
No, the session stated in the confirmation email is final.
When will I know if my abstract has been accepted?
Correspondence informing you of the outcome of review will be sent to you and your co-authors by email by mid-April 2025. This correspondence will inform you of the details of your presentation format as well as instructions for the submission of your presentation materials and full paper.
Please be aware that sometimes our e-mails do not arrive properly (usually because of spam protection). You will be able to see the acceptance of your abstract in the restricted area and you can ask us to resend your notification letter.
Do I receive feedback about my submission even if it is not accepted?
In case of non-acceptance, a notification will be sent by email to the lead author
When will I know the day and time of my presentation?
An information email with full details regarding the session that you have been assigned to will be released in May 2025. All selected papers will be treated as equally important in the sessions and Congress Proceedings, differing only in the format of the presentation (in other words, Oral Presentation papers will NOT be considered more important than Interactive Presentation papers).

A Member or non member congress registration provides the option to purchase one accompanying person registration added to your full registration. For inclusions of an accompanying registration, review the IAC 2025 registration page.

Do I need my passport to register to attend IAC 2025?
International delegates are recommended to include a scanned copy of your passport with your registration details. This will be shared to the Australian Government as support your own visa application when you apply independently for a visa.
How do I pay for my registration?
Currently both credit card and EFT payments are available, a bank transaction fee applies to all credit card payments.
How much is registration?
I am registering as a Retired attendee. What information do you require to prove my eligibility?
To be eligible for the Retired registration type, you will need to provide proof of retirement, upload this during your registration.
I am registering as a student. What documentation do you require to prove my eligibility?
I am registering as a Teacher. What information do you require to prove my eligibility?
To be eligible for the Teacher registration, we will require you to provide the name of the school/institution where you work in the registration form.
I am registering as a Young Professional. What documentation do you require to prove my eligibility?
To be eligible for the Young Professional registration, you will need to provide your date of birth and upload a copy of your photo ID in your registration form.
What age am I eligible to be a Young Professional?
To be eligible for the Young Professional registration category, you must be 35 years of age or under as of Monday 29 September 2025.
